As personal assistant you are highly organized, a detail-oriented multi-tasker who can work under pressure and meet deadlines. You might also specialize in a particular field, such as public relations, advertising or marketing. Having a marketing or business-related degree is an advantage. It is important to point out that you as PA act like brand ambassadors/PR agents to your CEOs - it is your responsibility to ensure that the CEOs are on message, fully informed of all relevant developments and are acting accordingly. This could include pulling together an emergency meeting very late in the night or producing an urgent press statement. Your place of work will be in Dubai.
The modern reality is that PAs can be managing important projects, staff and significant budgets. Once the talent is proven, there will be the opportunity to maximize the employment relationship.

Key Responsibilities

• Analyze, respond to and send out communications
• Work in close proximity to top management
• Responsibility involves the preparation of documents (which generally requires strong writing, spelling, punctuation and grammar skills)
• Manage documents by organizing both electronic and paper files, maintain the main library
• Maintain executive schedules, organize and attend meetings; other duties might include completing personal tasks for executives, execute corporate or personal purchasing requirements
• Assist CEOs to make the best use of their time by dealing with secretarial and administrative tasks
• Discretion and confidentiality are essential attributes
• Arranging travel, visas and accommodation and (occasionally, travelling with the CEOs) to take notes or dictation (minutes of meeting) at meetings or to provide general assistance during presentations
• Screening phone calls, enquiries and requests, and handling them when appropriate
• Meeting and greeting visitors at all levels of seniority
• Dealing with incoming email, faxes and post, often corresponding on behalf of the CEOs
• Carrying out background research and presenting findings
• Producing documents, briefing papers, reports and presentations
• Ensuring the manager is well prepared for meetings
• Planning, developing and implementing PR strategies
• Researching markets to identify opportunities for events
• Producing detailed proposals for events (e.g. timelines, venues, suppliers, legal obligations, staffing and budgets)
• Securing and booking a suitable venue or location
• Liaising with marketing and PR colleagues to promote event activities
• Post-event evaluation (including data entry and analysis and producing reports for event stakeholders)
• Managing and updating information and engaging with users on social media sites such as Twitter and Facebook etc.

Minimum Qualifications

• Core skills needed to be successful include touch-typing and the use of desktop publishing and other office software programs, such as Microsoft Office
• Well-developed oral (fluent) and written skills in English Language is a must
• 1-2 years of experience in similar role
• Good IT skills and distinguished skills in processing Word, MS Suite (Excel and Power Point)
• Basic knowledge of marketing and advertising as well as working knowledge of the media industry; event planning experience is an advantage

• Flexibility to work occasionally varied schedules including weekends and evenings
• Ability to work flexibly and have a positive approach to change
• Can problem solve/work methodically when faced with problems or ambiguous situations
• Ability to retain composure, responding to situations calmly and effectively
• Self-starter with ability to work in a fast paced environment
• Driving License

The ideal candidate will be an experienced English speaking, professional acting and reliable staff member. To be successful in the role you will have to be driven and confident with working closely with the CEOs and have the ability to work effectively in different cultures.
